Find exhibitors from previous shows in the current show

Overview¶

This guide explains how to find contacts who have exhibited in previous shows in a single search in the current show. You could then use this information to run a mail merge.

Finding the exhibitors¶

ShowBiz’s facility to add or remove contact types for a contact in any show regardless on the currently selected show allows you to mark a contact with various attributes collated from various shows and use them to find contacts.

Here’s an example to give you the idea: To mark Cattle exhibitors who exhibited in 2008 and 2009 shows so we can find them in 2010 show.

1) Add the contact types we need in the 2010 show¶

1. Ensure the current show selected is the 2010
2. Go to Utilities->Contacts->Contacts Setup
3. Add the contacts types needed i.e. “Cattle Exhib 2008” and “Cattle Exhib 2009” using the add button
   

2) Apply the Contact Types to the applicable Contacts¶

1. Change current show in ShowBiz to 2008 using the show selector button in the top right
2. Open up the entry search screen, choose cattle from the header drop down and paid from account status
3. Press Search, this will find all paid cattle exhibitors in 2008 show
4. Right click an entry and choose `Select All`
5. Click the button `Update Types/Groups`
6. Use the screen that appears to apply `Cattle Exhib 2008` contact type to these selected contacts for the 2010 show
7. Change the current show to 2009 using the show selector button in the top right
8. Follow steps 2 - 6, only in step 6 apply the `Cattle Exhib 2009` Contact Type
   

3) Finding the Contacts¶

We now have contacts marked as Cattle Exhib 2008 in the current show who exhibited cattle in 2008 and contacts marked as Cattle Exhib 2009 in the current show who exhibited cattle in 2009. To now find Exhibitors who exhibited either 2008 or 2009:

1. Ensure you have the 2010 show selected
2. Open the `Contact Manager` screen
3. Choose the `Contact Type` tab
4. Double click `Cattle Exhib 2008` and `Cattle Exhib 2009` to put a green tick against each
5. Click `Search` and contacts who exhibited in either the 2009 or 2008 show will appear
